Step 1 - Understanding your Goals & Needs to Create a Bespoke Plan

Complete the inquiry form to help our team understand what your needs are your next corporate retreat, board meeting, incentive trip, strategic planning session, or team building event. After reviewing the form to determine if Perspectives Travel can assist, you will be invited to schedule a discovery call. The goals of this 30-minute call are to get to learn more about you and your company, to dig deeper into your goals for the trip, and better understand any specific preferences. We’ll also review the Perspectives Travel planning process and fee structure. We love this step of the process, as it allows us to gain a better understanding of how we can provide the curated experiences you’re seeking and ensure that a collaborative partnership with our agency is the right fit for your needs.

Step 2 - Research, Design, and Partner Engagement

Let Perspectives Travel get to work! Our team takes the learnings from the discovery phase and begins thoroughly researching every aspect of your corporate retreat to identify the best possible options to meet your needs. We will engage our network of preferred partners to develop a shortlist of corporate retreat locations that match your criteria, explore activities that could support the overall objectives of the meeting, engage and interview vendors, and identify any potential challenges or pitfalls with the locations. During this process, we also engage the teams on the ground at each potential venue to vet their capabilities, overall responsiveness, and ability to meet your needs.

Step 3 - Review Venue Options, Select the Best Option, and Begin Detailed Planning

We’ll present you with a summary of our research, along with key considerations for the corporate retreat locations. We’ll discuss the pros and cons of each option and help you decide on the best location for your offsite needs. When you’re ready to proceed, Perspectives Travel will engage the venue, transportation companies, tour operators, and other partners to initiate the detailed planning process. We’ll collaborate with you and designated members of your team to work through logistics and develop a detailed schedule that aligns with your agenda and overall objectives of the session.

Step 4 - Progress Checks and Final Details

As we work toward the big event, we will have multiple touch points to check in on progress, review budget, nail down key decisions, refine the schedule, coordinate travel logistics, and talk through any challenges. We’ll hold a final planning session one month before the event to ensure that all logistics and details are confirmed and the team on the ground is fully prepared to execute the plan.

Step 5 - Corporate Retreat Plan Execution

As your big event kicks off, we’ll remain in constant contact with the local teams at the venue to ensure things are running smoothly and that contractual obligations are being met. We’ll be reconfirming all meals with the hotel and caterers, all activities with tour operators, and all transfers with the transportation companies. We’ll also have routine touch points with you and your team to ensure you’re satisfied with service and identify any areas where pivots might be required. Once the retreat has concluded, we’ll schedule a debrief session with you to get your feedback and start high level planning for the next offsite.
